When you submit our contact form we collect your name, email address, company name and message. We use this information for one purpose only: to respond to your inquiry and, if we go on to work together, to manage that engagement.
We do not sell, rent or share your details with third parties for marketing. Form submissions are processed by our website host, Netlify, and delivered to our business email at Zoho Mail; both act purely as service providers on our behalf.
For client engagements we routinely handle sensitive financial and customer records. That data is accessed strictly on a need-to-know basis, governed by the confidentiality terms in each engagement agreement, and never used for any purpose beyond delivering the agreed work. We use named accounts rather than shared logins, request the minimum permission level required, and remove access when an engagement ends.
We use Cloudflare Web Analytics to understand how many people visit the site and which pages they read. It is privacy-preserving by design: it sets no cookies, uses no client-side state, does not fingerprint your device, and does not track you across other websites. We see aggregate figures only — page views, referring sites and country-level location — never anything that identifies you individually. There is nothing to opt out of because nothing about you is stored.
Our website includes an AI assistant called Ren AI. We built it ourselves — the knowledge it draws on, the rules governing how it answers, and the interface are all ours. Like every AI application, it runs on an underlying large language model provided by a third party, which is where your messages are processed to generate a response.
We currently run that model on a free service tier, and under that tier the provider may retain conversation content and use it to improve their models. Conversations are not linked to your identity by us unless you choose to give your name or email in the chat.
Because of this, please do not share confidential, financial or personally sensitive information with the assistant. If you need to discuss something confidential, email info@renwickitsolutions.com and it will be handled under the terms described above rather than through the assistant.
Ren AI can make mistakes and its answers are not professional advice. Nothing it says forms a quote, a commitment or a contract. If we move the assistant to a paid service tier carrying a no-training commitment, we will update this section.
You can ask us for a copy of the personal data we hold about you, correct it, or delete it at any time — email info@renwickitsolutions.com and we'll action it.
